Overview:
Our Client is seeking a dedicated and professional Administrative Legal Assistant to join our team. As the "Ambassador of First Impressions" you will play a vital role as the initial point of contact for all prospects and clients. Your responsibilities will ensure that our office operates efficiently and that our clients receive excellent service from their first interaction with us.
Key Responsibilities:
- Receptionist Duties: Serve as the primary point of contact for clients and prospects, both in-person and over the phone, ensuring a warm and professional welcome.
- Scheduling: Manage and schedule appointments for calls, Zoom meetings, initial consultations, and document signings.
- Database Management: Maintain and enter all client-related matters into the CLIO database and manage referral sources within Outlook.
- Witnessing and Documentation: Act as a witness during signings and manage the collation of estate planning binders, ensuring that all documents are copied to a flash drive.
- Document Management: Scan older client documents and assist in creating ancillary documents as needed.
- Additional Responsibilities: Perform other related duties as required to support the team effectively and maintain smooth office operations.
- Strong communication and interpersonal skills
- Ability to handle multiple tasks efficiently with attention to detail
- Experience with database management, preferably CLIO
- Proficiency in Microsoft Outlook and other office software
- Team player with a proactive approach to problem-solving
Salary Range: $37,500-$45,000 depending on experience
Hours: Monday to Friday, 8:30 AM to 5:30 PM with a one-hour for lunch break
